We at OOXOO consider your privacy very important. This means that we handle the data we know about you confidentially, carefully and according to current privacy laws.

This privacy statement explains how OOXOO handles the personal data we process from people who are having a conversation with our chatbots. We also report how we handle data from website visitors, visitors to social media pages, contacts who work in business relationships (such as customers or suppliers), our own applicants, interns, freelancers and employees.

Who is responsible for processing your data?

OOXOO AI B.V. (Dutch Chamber of Commerce number: 80745059) is responsible for processing your personal data. This means that OOXOO AI B.V. determines - taking into account the current privacy legislation - what data is processed of you, how exactly that happens, for what purposes and for how long. OOXOO AI B.V. (to be called: 'OOXOO' or 'we') processes personal data by storing or sharing it with other parties.

Ad 1. What personal data do we process from candidates who enter into a 'conversation' with a recruitment chatbot from OOXOO?

When you sign in to OOXOO through our chatbots and/or have a conversation with a recruiter, we can process the following data:

Contact us via Whatsapp or SMS

You can ask us questions via Whatsapp and sms. When you use Whatsapp service, we may receive the following information from you: your WhatsApp name, phone number, the content of the call and your profile picture. In order to help you as best as possible, we keep this data for up to 3 months after the interview has ended. Your data is protected with end-to-end encryption. Why does OOXOO process this personal data?

Have you never signed up for anything and never had a chat with (one of our) chatbots, but still receive messages or emails from or via OOXOO? Send an e-mail to privacy@ooxoo.ai, we are happy to help you.

How long do we keep your personal data?

We do not keep your data for longer than is strictly necessary. In doing so, we look at the purpose for which we have requested the data from you. We also take into account legal retention periods. For example, the Payroll Tax Act states that as an employer of yours as an employee, we must keep a copy of the id for up to five years after you are out of service. The retention periods we use are included in our retention policy. At the end of the retention periods, your data will be automatically deleted or anonymised.

What do we do to protect your personal data?

We protect your personal data in various ways to ensure that your data is and remains secure with us. We do this, for example, by restricting access to your personal data, storing data in parts on different servers, using secure communication channels and system and network security. We have an internal security policy that states what measures we all take to protect your data.

With which third parties do we share your personal data?

OOXOO will only share your personal data with other parties if it is allowed under applicable privacy laws. These other parties may be subsidiaries of OOXOO B.V., organisations looking for staff, trainers and trainers, government agencies (e.g. UWV or Tax Administration) and business relations (e.g. occupational health and safety services).

In order to be able to perform our services, we also receive help from parties who process data for us. Think, for example, of the software provider of the remuneration system and the payroll that we use to pay you. With these parties we make agreements about good security, secrecy and the rights that you have and should be able to exercise. We include these agreements in a processing agreement with this third party.

Do we share data with third parties outside the EU?

OOXOO may share your data with parties located outside the EU, such as a software vendor. We choose these parties carefully. For example, we look at whether there is a decent level of protection of personal data, similar to protection in the EU. We make arrangements for adequate security measures to properly protect your data in a processing agreement with the relevant parties.
